1. Who we are

Pulat Estates(“we”, “our”, “us”) is a London estate agency providing sales, lettings, property management and Guaranteed Rent services. Our registered office is at 1 Office Street, London, SW1A 1AA. Companies House registration: TODO-COMPANIES-HOUSE-REF. ICO registration: TODO-ICO-REF.

2. The data we collect

Depending on how you interact with us, we may collect:

  • Identity information — name, date of birth, photo ID (for anti-money-laundering and right-to-rent compliance).
  • Contact information — postal address, email, phone, WhatsApp number.
  • Property information — addresses you own, lease and let with us.
  • Financial information — rent payments, bank details for transfers (held by our regulated payment processor).
  • Communications — emails, WhatsApp messages, phone call notes.
  • Website use — pages visited, browser, approximate location (via Google Analytics, if accepted).

3. Why we use your data

We process your data on the following lawful bases:

  • Contract — to provide the sales, lettings or management service you've engaged us for.
  • Legal obligation — to meet our anti-money-laundering, right-to-rent, deposit-protection and tax obligations.
  • Legitimate interests — to operate our business, improve our service, and contact you about properties matching your registered search.
  • Consent — for marketing emails or analytics cookies, where applicable.

4. Who we share data with

We share data only where necessary, and only with parties bound by confidentiality and (where applicable) UK GDPR processor agreements:

  • Property portals (Rightmove, Zoopla, OnTheMarket) for listings.
  • Referencing providers, deposit protection schemes, and right-to-rent services.
  • Solicitors, mortgage brokers and surveyors instructed in your transaction.
  • HMRC and other regulators where legally required.
  • Our IT, email, hosting and analytics providers.

We do not sell your personal data to anyone.

5. How long we keep data

We retain client data for as long as we have an active engagement plus, typically, six years to meet HMRC and AML record-keeping requirements. Tenancy and deposit records are kept for the duration required by the deposit-protection scheme. Marketing contact data is held until you unsubscribe.

6. Your rights

Under UK GDPR you have the right to:

  • Ask for a copy of the data we hold about you.
  • Ask us to correct inaccurate data.
  • Ask us to erase data, where there's no overriding legal reason to keep it.
  • Object to certain types of processing (such as marketing).
  • Lodge a complaint with the Information Commissioner's Office (ico.org.uk).

7. Cookies

We use a small number of strictly-necessary cookies to keep the site working, plus optional analytics cookies (Google Analytics 4) only if you accept them. You can change your preferences at any time via your browser settings.

We may update this notice from time to time. The "last updated" date at the top reflects the latest version. Material changes will be flagged on the site.
